| Job Description Perform highly responsible, professional secretarial and administrative services for director of Communications and the team. Relieve manager of routine administrative detail. Employees at this level are expected to operate with general supervision. Interact with senior internal and external personnel on significant matters often requiring coordination between organizations and companies. Daily responsibilities include, but are not limited to: 1. Initiate, create and maintain electronic and written communications materials such as memos, reports, presentations, flow charts and organization charts using applicable company standards. 2. Process and screen incoming and outgoing communications and correspondence to ensure proper dissemination and required action. 3. Work with media relations specialist to distribute daily media monitoring report, upload monthly best clippings. 4. Work with the team to track team expenses. 5. Support and implement logistics for special events/projects using Boeing business tools and resources. 6. Initiate expense reports primarily for executives utilizing Boeing policies and tools to ensure timely and accurate reimbursement. Assist travelers in reconciling charges and verifying payments to corporate credit cards 7. Prioritize and manage the schedule for executives using highly advanced expertise with calendars and virtual resource tools to maximize efficient use of time based on executive's business priorities. Identifies alternates for meeting attendance as needed. 8. Allocate, track and maintain designated conference room schedules and availability to utilize resources efficiently. 9. Exercise considerable latitude and judgment in the coordination and processing of executive domestic and international travel arrangements and monitor on-going logistics for all 10.
